PRIVACY POLICY

This privacy policy dictates how Wellwood Wedding Stationery (WWS) uses, stores and protects any information that you submit to us. Our privacy policy has been written with guidance from the UK’s General Data Protection Regulation (GDPR). This privacy policy applies to all the data we collect and process, and by using Wellwood Wedding Stationery you consent to this process.

1. The data we collect from you

At Wellwood Wedding Stationery (WWS) certain information is required to fulfil your stationery order. As a data controller we collect details via our website through the use of a contact form on our Contact page, using our Book A Consultation button or directly via email using the links. Data collected may include your name, email address and primary contact telephone number. Your address is collected for invoicing purposes and also for shipping your order when complete.

Other information we collect generally relates to creating your order, such as details about your wedding, which may include the date, time, location and any other specifics you wish to have included in your stationery, such as personalisation with guest names and printed addresses on envelopes. We may also collect demographic details, such as postcodes, personal interests and preferences.

All of this information is necessary to create and fulfil your order.

Our website uses cookies, they are small blocks of data created by a web server while you are browsing our website. These cookies are placed on your computer or device by your selected web browser. Cookies are used to enhance your browsing experience. You are given the option to accept cookies whilst using our site via an interactive banner.

2. How your data is collected

When you make an enquiry with us, data is collected via the contact form on our website, this is located on the Contact page. The information gathered in this form is then sent to us directly via email using Secure Socket Layer (SSL) technology and it is stored in an email folder specifically for enquiries. Information is either collected through our contact form or in a composed email sent directly to us. If the enquiry progresses to a booking, your email communications will be transferred to our booked clients email folder.

When you book a consultation with us, a confirmation for a virtual consultation via Zoom will be sent, this includes a web link with time/ date and a password. When completing a consultation request on our website, you will be asked to provide information such as your name, email, date of wedding, wedding venue details, approx number of guests, enquiry type and an optional message. Not all of this information is required to book a consultation but it does help us with your enquiry.

We do not have a mailing list and do not send out newsletters, we only contact you with messages relating to your enquiry, consultation, booking or order.

We have several social media accounts including Instagram and Facebook. On both platforms we do not ask for personal data through our posts or direct messages, instead we ask that all enquires go through our website or directly via email to ensure privacy is maintained. Both social media accounts offer options to send an email directly to us, bypassing direct social media messaging services.

3. Sharing data with third parties and why

We share your information with Google Analytics, Squarespace, Calendly, Zoom, Signable and also Trello. These services are used to observe website statistics, facilitate our website presence, set up consultations, manage bookings, supply quotes/ contracts and allow you to be involved in the order process. Your data is shared with these third party companies to make your experience an easy and enjoyable one.

Your details will never be disclosed to any third parties that aren’t essential to our business process. There are certain situations in which we may share access to your personal data without your explicit consent; for example, if required by law, to protect human life, or to comply with any valid legal process, government request, rule or regulation.

4. How we store and protect your data

All the data we collect from you is stored securely on a password protected desktop computer, we also use Secure Socket Layer (SSL) technology when information is submitted to us online. Your information is stored for a period of up to 7 years after your order is completed, this is for tax legislation purposes. If you do not proceed with your enquiry, your information will be deleted from our system after a period of 6 months. In the unlikely event of a criminal breach of our system we will inform the relevant regulatory body and, if your personal data was involved, we will contact you directly.

As part of our booking process we send out personalised contracts and quotes. These pieces of documentation are password-protected on our system to ensure privacy and stored on a password-protected desktop computer.

All artwork and design files are stored on a password-protected computer and also backed up onto an external hard drive for security and safety purposes. We will never display sensitive information on social media, such as a full address, phone number or email. Names and addresses shown on envelopes are generally fictionalised for photography purposes and not that of a genuine person. We will not display orders with sensitive information during trade fairs, wedding shows or offer them in our sample packs, we respect your privacy and will never share this with others unless granted specific permission to do so.

Any stationery that cannot be used and contains sensitive information will be destroyed accordingly to protect your privacy.

5. Your rights

The GDPR provides you with the following rights:

  1. The right to be informed - You have the right to be informed about the collection and use of your personal data.

  2. The right of access - You have the right to access your personal data, commonly referred to as subject access.

  3. The right to rectification - For you to have inaccurate personal data rectified, or completed if it is incomplete.

  4. The right to erasure - For you to have personal data erased, also known as ‘the right to be forgotten’.

  5. The right to restrict processing - You can request the restriction or suppression of your personal data. 

  6. The right to data portability - This allows you to move, copy or transfer personal data easily from one IT environment to another securely.

  7. The right to object - Object to the processing of your personal data in certain circumstances, such as direct marketing.

  8. Rights in relation to automated decision-making and profiling - Automated individual decision-making (making a decision solely by automated means without any human involvement); and profiling (automated processing of personal data to evaluate certain things about an individual).
    Profiling can be part of an automated decision-making process.

6. Other

The details and/ or personal information that you share with us are used to process your order and are kept as a record for book keeping (tax purposes). We will always store and protect your personal information to the highest degree for safety and security. We may change this privacy policy from time to time and without prior notice. By continuing to access or use our services after those changes become effective, you agree to be bound by our revised privacy policy.
